AI Agents vs. Chatbots vs. RPA: What's the Difference?

    Short answer

Chatbots talk, RPA clicks, and AI agents decide and act. A chatbot answers messages, RPA repeats fixed steps in software exactly as recorded, and an AI agent understands the goal, chooses the steps, and uses your tools to finish the task within the limits you set.

    Chatbots

    • Best for: answering common questions and guiding people through simple, predictable flows.
    • Breaks when: a question doesn't match the script, or the answer requires doing something in another system.

    RPA (robotic process automation)

    • Best for: high-volume, identical tasks in software, such as copying fields between two systems.
    • Breaks when: inputs vary (a new invoice layout, a free-text email) or a screen changes.

    AI agents

    • Best for: multi-step tasks that involve reading unstructured information and making simple judgement calls, such as resolving a support request or processing a supplier email.
    • Needs: clear permissions, rules for when to ask a person, and logging so you can review what it did.

    How to choose

    • If the task is only a conversation with fixed answers, a chatbot may be enough.
    • If every input looks the same and the steps never change, RPA is cheap and reliable.
    • If inputs vary or the task needs judgement across several tools, use an AI agent, often alongside your existing RPA.
